Plan Communications Management is the process of establishing a proper approach and plan for project communication based on the project and stakeholders' needs and the available organizational resources (PMBOK).  In order to establish an effective communication management plan, it is important to ensure that it is developed early in the project life cycle, regularly reviewed throughout the project, and modified when needed to ensure continued relevancy (PMBOK). While planning the communication, it is also crucial to acknowledge that the information needs, and distribution methods may vary from project to project (Doing Projects). However, identifying the stakeholders' information needs and finding an appropriate way to satisfy them are both considered common factors for project success. (Doing Projects).

Abstract

Project Communications Management is a collection of processes required to meet the information needs of a project and its stakeholders. The first part of Project Communications Management focuses on forming a strategy to assure effective communication between the Project Team and the stakeholders. The second part focuses on executing the needed activities to fulfil the formed communication strategy. [1]

Project Communications Management includes three processes:

  • Plan Communications Management – The process of establishing a proper approach and plan for project communication activities depending on the needs of the project and its stakeholders, and the available organizational resources.
  • Manage Communications – The process of securing suitable and appropriate gathering, formation, distribution, storage, control, retrieval, monitoring, and disposal of project information.
  • Monitor Communications – The process of assuring that the information needs of the project and its stakeholders are adequately met.

These processes are essential to ensure that the right messages are distributed, collected, and understood by the right people in the project. Additionally, they are important to the development of necessary relationships in order to generate successful project outcomes.
